Return Insights AI is a Shopify app that helps merchants understand return patterns, generate AI-assisted return insights, and identify practical ways to reduce preventable returns. This Privacy Policy explains what information we process, how we use it, and the choices available to merchants who install and use the app.
1. Our Role
When a merchant installs Return Insights AI, we generally act as a data processor or service provider on behalf of that merchant. The merchant controls the store data made available to the app through Shopify, and we process that data only to provide the app's functionality, maintain the service, comply with legal obligations, and support the merchant's use of the app.
2. Information We Collect and Process
To operate the app, we may collect and process the following categories of information from a merchant's Shopify store and app activity:
- Order and return identifiers: order IDs, return IDs, return names, order references, and related Shopify resource IDs.
- Return details: return reasons, return reason notes, customer notes when present in Shopify return payloads, quantities, statuses, and timestamps.
- Product and line item details: return line items, fulfillment line item references, product-related identifiers, and other return-linked line item details Shopify includes in webhook or API responses.
- AI-generated analysis: AI categories, suggested tags, summaries for merchant teams, confidence or impact signals, and restock recommendations generated from captured return data.
- Store metadata: shop domain, installation/session records, app settings, quota/usage counts, plan state, and billing-related status used to operate the app.
- Operational and support data: logs needed to secure, debug, and maintain the app, including limited request, webhook, and session lifecycle information.
3. How We Use Information
We use this information to:
- Capture and process new returns after app installation.
- Generate AI-powered return insights and summaries for merchants.
- Show dashboards, charts, action recommendations, and return feeds inside the embedded app.
- Track monthly analysis allowances, enforce plan limits, and support billing-related workflows.
- Maintain, secure, troubleshoot, and improve the app.
- Analyze product usage and service quality using aggregated or anonymized information where possible.
We do not sell merchant data. We do not use merchant store data for unrelated advertising purposes.
4. Third-Party Services
We use trusted service providers to operate the app:
- OpenAI to generate AI return analysis. We use OpenAI as a service provider under applicable contractual protections, including data processing terms where available.
- Railway for application hosting and infrastructure.
- PostgreSQL for secure application data storage.
These providers process data only as needed to support the app's functionality.
5. Data Retention
We retain merchant data only for as long as necessary to provide the app, support legitimate business operations, satisfy legal obligations, and resolve disputes. Session data, settings, return analyses, recent return records, and related app data are retained while the merchant continues to use the app, unless deletion is requested earlier where permitted.
6. Data Security
We use reasonable administrative, technical, and organizational measures to protect merchant data against unauthorized access, alteration, disclosure, or destruction. No system can be guaranteed to be 100% secure, but we work to maintain protections appropriate to the sensitivity of the data processed by the app.
7. Merchant Rights and Requests
Merchants may request access to, correction of, or deletion of their app-related data by contacting us. We will respond in accordance with applicable law and our obligations as a Shopify app provider. If a merchant needs data deleted after uninstalling the app, we will make commercially reasonable efforts to remove the relevant app data from active systems where possible.
8. GDPR and Uninstall Handling
Where applicable, we support GDPR-aligned handling of merchant data. If the app is uninstalled, we attempt to remove or clean up app-specific authentication and settings data as part of the uninstall flow, and we honor valid follow-up deletion requests where required. Some limited records may be temporarily retained for security, fraud prevention, legal compliance, or backup integrity.
